For a straightforward owner-managed business, start with the product that your bookkeeper already supports and that handles your VAT scheme on the plan you can sustain. Xero, QuickBooks, FreeAgent and Sage offer HMRC-compatible products, but HMRC does not endorse one over another. Test the real workflow before committing.

The non-negotiable: MTD compatibility
VAT-registered businesses must keep the required records digitally and submit VAT information using compatible software, unless exempt. HMRC maintains the definitive compatibility list and says explicitly that it does not recommend or endorse any product.
A product appearing on that list is only the first gate. Confirm that the exact product and plan supports your VAT scheme, including Standard, Cash Accounting, Flat Rate or any partial-exemption workflow you use. Ask who will correct errors, lock periods and keep the audit trail.
How to compare the shortlist
Run a rehearsal using one representative month rather than comparing feature lists. Import a bank feed, raise a sales invoice, post an expense with VAT, reconcile the bank, produce the VAT return and let the person who will review it inspect the evidence.
Score the products on time-to-complete, error visibility, accountant access, bank reliability, invoice and expense capture, reporting, support and the full annual price after any introductory offer. A cheap plan that creates manual work every quarter can be the expensive choice.
- Confirm the precise product appears in HMRC's current MTD list.
- Test your VAT scheme and any reverse-charge, import or mixed-rate transactions.
- Check user limits, bank feeds, receipt capture and accountant access on the intended plan.
- Export a full general ledger and attachments before you buy; portability matters.
- Review security controls, permissions, backups and the supplier's support route.
Which option fits which business?
Xero and QuickBooks Online are sensible starting points when collaboration and connected apps matter. FreeAgent deserves consideration for a small service business, particularly where it is available through an eligible bank account. Sage may be the least disruptive choice for a team or adviser already operating in its ecosystem.
There is no defensible universal winner. Your transaction complexity, adviser, VAT scheme and internal controls determine the fit. Bridging software can connect spreadsheets to HMRC, but it does not repair weak records or unclear ownership of the return.
A safer buying decision
Create a one-page requirements list, test two finalists with the same sample data and ask your accountant to review the output. Record the normal price, cancellation terms, migration assistance and the cost of any payroll, expenses or multi-currency add-ons.
Before the first live filing, reconcile the VAT control account to the draft return and document who prepares, reviews and submits it. Software supports the control; it is not the control.
